Austria SKI WM und Großveranstaltungsges.m.b.H. (hereinafter also referred to as "ASWM", "we", "us" or similar) is an indirect subsidiary of the Austrian Ski Association (Österreichischer Skiv-erband), ZVR 589297270, Olympiastraße 10, 6020 Innsbruck (hereinafter also referred to as "ÖSV" or "Ski Austria"). ASWM is organizing the FIS Alpine World Ski Championships Saalbach 2025 in Saalbach (the "FIS Alpine Ski World Championships") and operates the official website "Saalbach 2025" via www.saalbach2025.com (hereinafter referred to as "saalbach2025 website").

For the realization of the FIS Alpine Ski World Championships it is essential for ASWM to process personal data. In this data privacy policy, ASWM discloses its data privacy policy (hereinafter the "Privacy Policy") in accordance with the EU General Data Protection Regulation (GDPR) and the Austrian Data Protection Act, so that you are aware of how we process personal data. Personal data is defined as any information relating to an identified or identifiable natural person.

Within this Privacy Policy, we therefore state in particular from which groups of people we process what category of personal data, for what purpose we do this, how long we store the personal data and why the processing of the personal data is in accordance with applicable laws. In this Privacy Policy you will further find information regarding cookies on our website.

Generally, we gather personal data from the following groups of persons:

Volunteers at the FIS Alpine Ski World Championships

We process the following data (if provided accordingly) from volunteers who support us at othe FIS Alpine Ski World Championships and who register via the "Event Volunteer Platform" https://ski-austria.eventvolunteers.de/en/Events.

  • Basic data: Name, address, e-mail, date of birth, telephone/mobile
  • Gender Citizenship
  • Social security number
  • ID data
  • Profile picture
  • Field of application/place of employment
  • Availability Experience (work experience, volunteer experience, skiing ability)
  • Language skills
  • Additional qualifications (IT skills, education, internships, driver's license information)
  • Clothing sizes
  • Contact person for emergencies (name, relationship, e-mail, phone)

We process such personal data in order to serve the purpose of engaging volunteers for the FIS Alpine Ski World Championships and to be able to deploy them in the right position at the event.

Furthermore, the data is used for the handling of organizational matters (e.g. clothing issue, booking of accommodation, etc.).

Further recipients of the personal data mentioned above may be, depending on the occasion, the relevant Ski Austria event company (in particular Austria Ski Nordic Veranstaltungsgesellschaft m.b.H. and AUSTRIA SKI VERANSTALTUNGSGESELLSCHAFT m.b.H.) or the processor for the operation of the volunteer platform (Eventvolunteers.de UG (haftungsbeschränkt), Theodor-HeussStraße 1, 67663 Kaiserslautern).

The above-mentioned data will be stored until the legal basis ceases to exist. If the volunteer – e.g. in the course of the registration process – consented that the above-mentioned data may also be used for further purposes (e.g. contacting the volunteer for possible engagements at future (major) events), the data provided will be stored as long as the volunteer has not revoked an existing consent. A revocation can be made at any time and free of charge by sending a message to datenschutz@skiaustria.at.

The legal basis allowing us to process the personal data stated above is the performance/fulfilment of a contract pursuant to Art. 6 (1) lit. b GDPR, the consent of the affected persons pursuant to Art. 6 (1) lit. a GDPR and our legitimate interest pursuant to Art. 6 (1) lit. f GDPR. Our legitimate interest is based on the purpose mentioned above.

Teams (athletes, coaches, staff, service personnel, etc.) for accreditation and room booking

The following data will be processed for all team members (athletes, coaches, staff, service personnel, etc.) participating in the FIS Alpine World Ski Championships:

  • Basic data: Name, gender, date of birth, address, nation, contact data (e.g. telephone, mobile, fax, e-mail address)
  • Result lists and other data necessary in order to execute competitive sports
  • Arrival and departure data
  • Flight data/flight number regarding pick-up/shuttle service
  • Bank details
  • Photos

We process the personal data mentioned above for the purposes of organizing the FIS Alpine World Ski Championships as well as for providing a results and information service. The data is required for administrative tasks such as event registration, accreditation and room bookings.

The above-mentioned data will be stored for 7 years, at the longest, however, until the legal basis ceases to exist.

The legal basis allowing us to process the personal data stated above is the consent of the affected persons pursuant to Art. 6 (1) lit. a GDPR and our legitimate interest pursuant to Art. 6 (1) lit. f GDPR. Our legitimate interest is based on the purpose mentioned above.

Athletes (payout of prize money)

We process the following data from athletes who receive prize money:

  • Basic data: Name, gender, date of birth, address, nation, contact data (e.g. telephone, mobile, fax, e-mail address)
  • Prize money settlement and payment data (e.g. prize money statement, bank details)
  • Result lists and other data necessary in order to execute competitive sports
  • Copy of identity card

This data is processed for the purpose of paying out the defined prize money at the FIS Alpine World Ski Championships.

The above-mentioned data will be stored by us for 7 years (as stipulated in Section 132 BAO).

The legal basis allowing us to process the personal data stated above is the fulfillment of a legal obligation pursuant Art. 6 (1) lit. c GDPR, the consent of the affected persons pursuant to Art. 6 (1) lit. a GDPR and our legitimate interest pursuant to Art. 6 (1) lit. f GDPR. Our legitimate interest is based on the purpose mentioned above.

Media and journalists

We process the following data from media, journalists and our media partners:

  • Journalists as well as contact persons on behalf of the media owner or media partner: name, telephone number, e-mail address
  • Media owner
  • Press ID

We process the personal data mentioned above to serve the purpose of conduct public relations for the association, its competitive athletes and events.

The above data will be stored until the legal basis ceases to exist.

The legal basis allowing us to process the personal data stated above is the consent of the affected persons pursuant to Art. 6 (1) lit. a GDPR and our legitimate interest pursuant to Art. 6 (1) lit. f GDPR. Our legitimate interest is based on the purpose mentioned above.

Business partners, suppliers

We process the following data from our business partners or suppliers:

  • Contact person on behalf of the business partner or supplier: Name, telephone number, e-mail address;
  • Billing and payment data (e.g. payment receipts, invoices, means of payment, collection authorizations, bank transactions, settlements, credit cards, bank details / credit cards, credit card reference data, etc.);
  • Contract data (e.g. terms of delivery or service, special agreements, discounts, commission data);
  • Correspondence language;
  • Power of representation

We process the personal data above in order to serve the purpose of fulfilling the obligations arising from the business relationship with our business partners and suppliers.

The above-mentioned data will be stored for at least 7 years (as provided for in Section 132 BAO), no longer, however than for 30 years (period of limitation).

The legal basis allowing us to process the personal data stated above is the performance/fulfilment of a contract pursuant to Art. 6 (1) lit. b GDPR as well as the fulfillment of a legal obligation pursuant Art. 6 (1) lit. c GDPR.

Visitors of the FIS Alpine Ski World Championships

The following data might be processed with regard to visitors:

  • Photos and videos taken in the course of the FIS Alpine Ski World Championshiops (please refer to the General Terms and Conditions for more detailed information in that regard).

We process this data in order to serve the purpose of public relations and a certain news coverage with regard to the respective events. The above-mentioned data will be stored until the legal basis ceases to exist.

The legal basis allowing us to process the personal data stated above is our legitimate interest pursuant to Art. 6 (1) lit. f GDPR. Our legitimate interest is based on the purpose mentioned above.

It might be the case that you will also find links to third-party websites on our website and applications, plug-ins or content from third-party providers. We have included the plug-ins or such third party links mainly for informational purposes. Please note that these third-party websites are generally not within our sphere of influence and are therefore not covered by this Privacy Policy. If you visit the website of third parties (for example, by clicking on the corresponding link), personal data might be collected or processed by the respective operators. In this regard, please refer to the respective privacy policy of the corresponding website operator.

This, in particular, applies to the link on the saalbach2025 website to register for the Ski Austria (Austrian Ski Association) newsletter. If you register for this newsletter, the corresponding data (i.e. e-mail address, name, title) will therefore be processed directly by Ski Austria and further information can be found in Ski Austria's data privacy policy (https://www.skiaustria.at/de/datenschutz).

ASWM (as part of the Ski Austria Group) has taken appropriate technical and organizational measures to protect personal data against, among other, accidental or intentional manipulation, loss, destruction and unauthorized access. The measures taken are subject to regular review and are continuously adapted to the state of the art.

Notwithstanding our efforts to maintain an appropriately high level of diligence at all times, it cannot be ruled out that information disclosed to us via the Internet may be viewed and used by other persons.

Please note that we therefore accept no liability whatsoever for the disclosure of information due to errors in data transmission not caused by us and/or unauthorized access by third parties (e.g. hacker attack on e-mail account or telephone, interception of faxes).

You have the following legal rights according to GDPR with regard to your personal data.

  • Right of access (Art. 15 GDPR): Upon request, we shall provide you with information about the personal data processed and the purpose of the processing within one month.
     
  • Right to rectification (Art .16 GDPR): In case of incorrect or incomplete data, you may request rectification.
     
  • Right to erasure ("right to be forgotten") (Art. 17 GDPR): We must erase personal data if it is not necessary for the purposes of processing, you withdraw your consent (unless there is another, additional authorization for processing) or the personal data has been processed unlawfully.
     
  • Right to restriction of processing (Art. 18 GDPR): You can request a restriction of processing if, for example, your personal data is to be used only for specific purposes.
     
  • Right to data portability (Art. 20 GDPR): You have the right, in the cases prescribed by law, to receive the personal data concerning you in a structured, common and machine-readable format. Right to object (Art. 21 GDPR): You may object to processing based on public interest or our legitimate interest.
     
  • Right of withdrawal (Art. 7 (3) GDPR): Consents can be revoked by you at any time and without justification. You can do this by sending a mail to datenschutz@skiaustria.at or sending a letter to our postal address Österreichischer Skiverband, Olympiastraße 10, A-6020 Innsbruck.
     
  • Complaint to the data protection authority (Art. 77 GDPR): If you believe that the processing of your personal data violates the GDPR, you have the right to lodge a complaint with a supervisory authority (in Austria, this is the data protection authority). You can submit a complaint by e-mail to dsb@dsb.gv.at.

Generally, we do not submit/transmit any personal data to third parties. However, due to the association's agendas, legal obligations and the complexity of today's data processing processes, it is sometimes essential to pass on personal data also to third parties (see also Section 1 above). For the processing of personal data, we sometimes engage processors (Auftragsverarbeiter). We have concluded respective contracts with our processors in accordance with Art. 28 (3) GDPR. In addition, we have ensured that we only work with processors who have implemented appropriate technical and organizational measures that ensure processing of personal data in accordance with the requirements of GDPR and the protection of the rights of data subjects.

Depending on the occasion, the personal data mentioned under Section 1 above may also be transferred to the following third parties who are not processors of ours:
